Air Design turns 600 paper folders into $35k with Podium's AI OS

Lance Hudson, Air Design's office manager, used to dread spring and fall.

Twice a year, for about six weeks at a stretch, he'd work through a stack of 10 to 15 paper folders, each one packed with customer info for their roughly 600 maintenance agreement members. He'd call them one by one. Most wouldn't answer. He'd leave voicemails that mostly went unreturned. Then he'd try again. For 3-4 hours a day, that was the job.

"He had to go through each and every one and call them," said Jase Marshall, Air Design's CFO. "Which is a nightmare."

Air Design is one of the larger home services operations in the Salt Lake area — 75 employees, 55 trucks, residential and commercial. They had the membership program. They had the customers. What they didn't have was a way to work through that list without it consuming one of their best people for months at a time.

What changed

Air Design turned on the Membership Coordinator agent inside Podium's AI Operating System. The agent identifies which members are due for their seasonal visit, reaches out via text, checks the actual dispatch board for availability, and books the job directly onto the calendar. No call list. No voicemails. No follow-up stack.

Lance's role went from doing the outreach to watching it happen.

"Now it's basically just oversight," Marshall said. "He just has to make sure it's doing what it's supposed to, and then he's good."

The results

In their first six weeks running the Membership Coordinator, Air Design contacted 471 members, booked 187 jobs, and collected $35k in revenue without Lance placing a single outreach call.

The calendar impact was immediate. "We are slammed," Marshall said. "We're booked out like two weeks right now."

The membership outreach runs itself now. Lance isn't burning half his day on a call list — he's focused on the jobs that actually need a human: complex installs, equipment orders, the calls where margin lives.

Air Design didn't add headcount to fill their spring calendar. They turned on an agent. The calendar filled anyway.
