How Mountain Valley Home Comfort simplified HVAC operations with Podium

Mountain Valley Home Comfort uses Podium’s HVAC field service management software to connect customer conversations with jobs and give technicians a simpler workflow. Podium’s AI business manager, Operator, also delivers daily custom reports that previously took General Manager Philip Little hours to create.

The residential HVAC company has served homeowners in the New Market, Virginia area for more than 40 years. Its team includes about 50 employees, with 16 technicians and six install crews.

Mountain Valley first adopted Podium for customer communication and Google reviews. The company later moved its field service operations to Podium, bringing customer conversations and job information into the same system.

Why Mountain Valley looked for a different way to manage HVAC operations

Maintenance calls were hard for customers to answer

Reaching homeowners during the workday made scheduling maintenance difficult. Mountain Valley’s team often called while customers were at work, leaving the office waiting for a response.

“It’s hard to get in touch with customers because they don’t always answer their phone,” Philip says. “That was actually one of the hardest things to get people to respond to, ‘It’s time to get your maintenance done,’ because we’re calling in the middle of the day and they’re at work.”

The company also wanted to collect more Google reviews. Philip knew homeowners considered a contractor’s reviews when deciding whom to call, but getting customers to leave one had been difficult.

“We were trying to get reviews, but it was a challenge.”

The team wanted AI that could take on daily work

Philip had asked Mountain Valley’s existing software provider about AI capabilities without seeing the progress he wanted.

“We had been trying to get our current provider to add AI, and it’s like, ‘It’s coming. It’s coming.’ And then it’s, ‘It’s not coming. It’s not coming.’ They had no solution, and yet I see the world changing around me.”

He also had reasons to be cautious. Mountain Valley had tried an AI scheduling bot years earlier that made too many mistakes. A new system needed to earn the team’s trust through the work it could do.

Switching field service software meant moving years of customer information

Mountain Valley had more than 20,000 customers and 5,000 maintenance agreements to consider when evaluating a move.

“We have a lot of data. We have 20,000-plus customers, 5,000-plus maintenance agreements. How are we going to get all this information in there? It was a big, big decision. It took us a while to make that decision.”

After using Podium for reviews and text messaging, Mountain Valley decided to move its field service operations to Podium as well.

What changed after Mountain Valley moved to Podium?

Customer conversations connect directly to jobs

With Podium, Mountain Valley’s employees can review customer conversations alongside the work being done. The team can see what a customer has said and link that conversation directly to the job, without tracking down information across separate systems.

Technicians have a simpler workflow

Mountain Valley’s 16 technicians noticed the difference in their day-to-day work. Philip says the team found Podium easier to use than its previous system.

“The technicians say it’s way easier. There’s less complexity to it. It’s much simpler.”

Custom reports arrive daily without Philip building them

Operator creates custom reports for Philip each day, taking on reporting work he previously did himself.

“It already creates custom reports that used to take me hours, and it creates them on a daily basis.”

For Philip, this is a practical use of AI in HVAC operations: getting the information he needs to manage the business without rebuilding the report himself.

Unanswered questions and overdue invoices are easier to spot

Operator also surfaces customer conversations that need attention, including unanswered questions and issues that need escalation. Past-due invoices appear alongside those updates.

“[AI Operator] is telling me things that need to be escalated. It’s telling me questions customers asked that nobody answered. If there’s invoices past due, it’s telling me that. It’s just in real time and in the way I wanted to see it.”

Product feedback leads to changes

Mountain Valley encountered some hiccups as it began using AI for more tasks. Philip says Podium responded quickly, with some reported issues fixed the same day.

“[Podium] is leading the charge. They’re not timid about trying to get things done, and they’re making changes in real time.”

“I don’t want to take the relationship out of the interaction. I want to make more time for better relationships, because people buy from people they like.”
